1. About these Terms
These Terms and Conditions Policy applies when you make an enquiry, request travel planning support, purchase a consultation, ask us to help with booking arrangements, or otherwise use services provided by Jadewind Travel Pty Ltd.
In these Terms, "Jadewind Travel", "we", "us" or "our" means Jadewind Travel Pty Ltd. "You" or "your" means the customer, traveller, booking contact or other person using our services.
By requesting or using our services, you agree to these Terms and any applicable service description, invoice, quote, supplier terms and separate policies referred to in these Terms.
2. Our role
We are an Australian travel business that provides travel information, destination planning, itinerary support, consultation services, and administrative booking support.
Unless we expressly agree otherwise in writing, we act as a travel adviser, planning support provider, booking support provider or booking agent. We do not own, operate or control airlines, hotels, tour operators, transfer providers, attractions, insurers, booking platforms or other third-party travel suppliers.
The actual travel services are usually provided by third-party suppliers. Your contract for those travel services is normally with the relevant supplier, and their terms and conditions may apply in addition to these Terms.
3. Services we may provide
Depending on what you request, our services may include:
We may decline a request where the service is outside our business scope, unsuitable for the destination, not commercially practical, or not compatible with supplier availability, safety, legal or operational requirements.
4. Quotes, availability and pricing
Travel prices, availability, taxes, fees, schedules, exchange rates and supplier conditions can change without notice.
A quote, itinerary, package suggestion or price indication is not a confirmed booking unless all required details have been provided, payment requirements have been met, and the relevant supplier or booking platform has issued a confirmation.
We will take reasonable care when preparing information for you, but we are not responsible for supplier repricing, timetable changes, seasonal changes, currency movements, tax or surcharge changes, government charges, supplier errors or supplier operational decisions outside our control.
5. Your responsibilities
You are responsible for making sure all information you provide is accurate, complete and up to date. This includes names exactly as shown on passports, dates of birth, contact details, travel dates, rooming arrangements, special requests, accessibility needs and any other details relevant to the travel arrangements.
You are also responsible for:
We strongly recommend comprehensive travel insurance for all travel. Insurance should be arranged as early as possible and should be suitable for your destination, activities, health circumstances, cancellation risks and supplier conditions.
6. Bookings and supplier terms
If you ask us to assist with a booking, we will make reasonable efforts to follow your instructions and communicate the information available to us at the time.
Supplier terms may cover deposits, payment deadlines, cancellation fees, change fees, refund or credit eligibility, baggage rules, check-in requirements, health or fitness requirements, minimum numbers, liability limits and disruption rules.
You should read the supplier terms before making payment. If there is a conflict between these Terms and supplier terms for the actual travel service, the supplier terms will normally apply to that supplier service, except to the extent these Terms apply to the separate services we provide directly to you.
Special requests, such as room preferences, dietary requirements, seating preferences, accessibility needs or bedding requests, are subject to supplier acceptance and cannot be guaranteed unless confirmed by the supplier.
7. Payments
Payment requirements depend on the service or booking. Payments may be made to Jadewind Travel, to a supplier, to a booking platform or to a payment processor, depending on the arrangement confirmed with you.
If payment is made directly to a supplier, booking platform or payment processor, that third party's terms, fees, refund rules and privacy practices may apply.
If a payment deadline is missed, a quote or booking may be cancelled, repriced or treated as unavailable by the supplier. We are not responsible for supplier cancellation or repricing caused by late or incomplete payment, except to the extent caused by our own failure to perform our services with due care and skill.
8. Changes, Disruptions and Events Outside Our Control (Force Majeure)
8.1 General principle
Travel arrangements may be affected by events outside our reasonable control. Where this happens, supplier terms and applicable law will determine what changes, credits, refunds, or alternatives may be available for supplier services.
We will take reasonable steps to assist with administration and communication, but we cannot guarantee a particular supplier outcome.
8.2 Force majeure events defined
Without limiting the generality of clause 8.1, events outside our control ("force majeure events") include, but are not limited to:
Natural events
Earthquake, flood, tsunami, volcanic eruption, wildfire, landslide, severe weather, or natural disaster
Health and pandemic events
Pandemic, epidemic, infectious disease outbreak, public health emergency, quarantine order, or government-imposed health restriction
Government and regulatory actions
Government-imposed travel restrictions, border closures, lockdowns, curfews, visa or entry requirement changes, sanctions, or regulatory changes
Political and civil events
War, terrorism, civil unrest, riots, insurrection, coup, or political instability
Transport and operational events
Strike, labour dispute, lockout, carrier insolvency, widespread transport disruption, airport closure, or airspace closure
Technical and infrastructure events
Cyber attack, system outage, power failure, telecommunications failure, or supplier technology failure
Any other event
Any other event reasonably beyond the control of Jadewind Travel or the relevant supplier
8.3 Your rights and remedies during force majeure events
If a force majeure event affects your travel arrangements, the following will apply:
8.4 No penalty or liability for force majeure
Neither party will be liable for any delay, failure to perform, or inability to perform obligations (other than payment obligations) to the extent caused by a force majeure event, provided that:
8.5 Insurance recommendation
We strongly recommend that you obtain comprehensive travel insurance that covers trip cancellation, trip interruption, medical expenses, repatriation, and disruption caused by force majeure events (including but not limited to pandemics, natural disasters, and government travel restrictions). Your insurance provider, not Jadewind Travel, is responsible for claims arising from force majeure events.
8.6 No obligation to rebook at a loss
If a supplier offers a credit or rebooking option but with increased pricing, we are not obligated to absorb the price difference. Any additional costs will be communicated to you, and you may choose to pay the difference or accept the credit or refund offered by the supplier.
9. Separate policies that also apply
The following separate policies apply where relevant and should be read together with these Terms:
10. Australian Consumer Law
Nothing in these Terms, any supplier terms, our policies or any booking document is intended to exclude, restrict or modify rights that cannot be excluded, restricted or modified under the Australian Consumer Law or any other applicable law.
Where consumer guarantees or other non-excludable rights apply, the remedies available to you will depend on the circumstances and the service affected.
11. Limitation of responsibility
To the maximum extent permitted by law, we are not responsible for loss, delay, injury, damage, expense or disappointment caused by third-party suppliers, your own acts or omissions, inaccurate information provided by you, failure to obtain required travel documents, failure to follow supplier instructions, or events outside our reasonable control.
This section does not limit any liability that cannot be excluded by law, including liability for services we provide without due care and skill where the Australian Consumer Law applies.
12. Complaints and Dispute Resolution
12.1 Raising a complaint
If you have a concern or complaint about our service, please contact us as soon as possible.
All complaints must be submitted in writing to:

Substantive response
We will provide a written response outlining our findings, proposed resolution, or next steps within 28 business days of acknowledgement
If we need more time due to the complexity of the complaint or delays in supplier responses, we will advise you in writing and provide a revised timeframe.
12.3 Escalation – if you are not satisfied with our response
If you are not satisfied with our final response, or if we have not responded within the timeframes set out above, you may escalate the matter to an external dispute resolution body.
Depending on the nature of your complaint, you may refer the matter to:
If we are ATIA-accredited at the time of your complaint, and the complaint relates to our travel agency services

Contact your local consumer protection agency
12.4 Legal recourse
Nothing in this clause prevents you from seeking legal advice or taking legal proceedings at any time. However, we may request that the complaint first go through our internal complaints process before commencing legal action, except where urgent relief is required.
12.5 Supplier complaints
If your complaint relates to a third-party supplier (e.g., airline, hotel, tour operator, transfer provider), we will:
However, the supplier's own complaints process, terms and conditions, and applicable law will ultimately govern the resolution of complaints against the supplier. We are not responsible for the supplier's decision, delay, or refusal to provide a remedy, except to the extent caused by our own failure to perform our services with due care and skill.
12.6 Unreasonable complaints
We reserve the right to limit our response or decline to engage further where a complaint is, in our reasonable opinion:
In such cases, we will advise you in writing of our decision and the reasons for it.
13. Changes to these Terms
We may update these Terms from time to time by publishing or providing an updated version. The version that applies to a service is usually the version available when you request or purchase that service, unless otherwise required by law.
14. Governing law
These Terms are governed by the laws of New South Wales, Australia. The courts of New South Wales, Australia have non-exclusive jurisdiction, subject to any rights you may have under applicable consumer laws.

2. When a Booking is Confirmed

You have received a written booking confirmation from Jadewind Travel Pty Ltd or the relevant supplier, such as an email confirmation, booking reference number or similar written confirmation.
2.2 Quotes, itineraries and estimates are not confirmations
A quote, itinerary, price estimate or package suggestion is not a confirmed booking. Prices, availability and supplier terms can change until a booking is confirmed as set out above.
2.3 Supplier confirmation may take time
For some bookings, such as flights, complex tours or packages, supplier confirmation may take hours or days. Your booking is only confirmed when you receive the supplier's confirmation or a written confirmation from Jadewind Travel Pty Ltd that the supplier has confirmed the booking.

3.3 Changes to payment methods
We may add or remove payment methods from time to time. The methods available at the time of your booking will be communicated to you or displayed during checkout.
4. Multi-Currency Payments
Jadewind Travel Pty Ltd is an Australian business and our default currency is Australian Dollars (AUD). However, because we may work with clients, suppliers and travel providers in multiple countries, we may offer or accept payment in other currencies where available and agreed with you before payment.
4.1 Currencies we may accept
We may accept payment in the following currencies, subject to availability through our payment processor, booking platform, bank or other payment method used for the booking:
Australian Dollar (AUD) – Australian clients, website payments and most standard bookings.
US Dollar (USD) – International bookings and some overseas supplier arrangements.
Euro (EUR) – European clients and suppliers, where available.
Chinese Yuan (CNY) – China-related arrangements, where available.
New Zealand Dollar (NZD) – New Zealand clients, where available.
Canadian Dollar (CAD) – Canadian clients, where available.
UK Pound Sterling (GBP) – UK clients, where available.
Not all currencies will be available for every booking, product, service or payment method. We will confirm the applicable payment currency before you are required to make payment.
4.2 Currency displayed on the website
Unless otherwise stated, prices displayed on our website are in Australian Dollars (AUD). Where our website or booking platform allows you to view prices in another currency, the converted amount may be indicative only and may be based on exchange rates provided by the website, booking platform, payment processor or third-party currency tool.
The final amount payable will be the amount shown to you at checkout, on your invoice, or in your written booking confirmation.
4.3 Direct bookings and agreed currency
For direct bookings arranged with Jadewind Travel Pty Ltd, we will confirm the payment amount and currency in writing before payment is required.
Where a booking involves overseas suppliers or third-party travel providers, supplier prices may be quoted or charged to us in another currency. If exchange rates, supplier costs, taxes, duties, bank charges or payment platform fees change before your booking is confirmed, the final price payable by you may also change. Once your booking is confirmed and paid in an agreed currency, the price is generally fixed in that currency, unless changes are permitted under the applicable supplier terms, booking terms, or by law.
4.4 Exchange rates and conversion fees
For payments made in AUD, the amount charged by Jadewind Travel Pty Ltd will be the confirmed AUD amount.
For payments made in another currency, the exchange rate may be set by our payment processor, payment platform, bank, booking platform or another third-party payment provider at the time of transaction, unless we have agreed a specific exchange rate with you in writing.
Jadewind Travel Pty Ltd does not control exchange rates applied by banks, card issuers, payment processors, booking platforms or other third-party providers. Your bank, card issuer or payment provider may charge foreign transaction fees, currency conversion fees, international payment fees or other charges. These fees are your responsibility.
Where Jadewind Travel Pty Ltd applies any separate payment processing fee, card surcharge or currency-related charge, we will disclose this to you before payment is made, and any card surcharge will not exceed our permitted cost of accepting that payment method.
4.5 Currency risk and refunds
Exchange rates can fluctuate. You are responsible for any exchange rate difference, currency conversion cost, foreign transaction fee or bank charge associated with your payment.
Where a refund is approved under our Cancellation and Refunds Policy, supplier terms, booking terms or applicable law, the refund will usually be processed in the same currency and to the same payment method used for the original payment, unless we agree otherwise or another method is required.
The amount you receive may be different from the amount originally paid once exchange rate movements, payment processor fees, bank charges or card issuer fees are applied. To the extent permitted by law, Jadewind Travel Pty Ltd is not responsible for any loss, shortfall or additional cost caused by exchange rate fluctuations or third-party payment fees.
5. Deposits and Payment Schedules
5.1 Planning services and consultations
Scheduled consultation: 100% upfront. Final payment not applicable. Pay at the time of booking.
Custom planning package: 50% non-refundable deposit, unless otherwise stated or required by law. Balance before itinerary delivery. The deposit covers initial research, planning work and administration.
5.2 Travel bookings (flights, hotels, tours, and packages)
Payment requirements vary by supplier. The following guide explains the most common payment patterns for different types of travel products. We will always confirm the specific payment schedule and cancellation terms for your booking before you pay.
5.2.1 Flights
Standard economy flights: 100% at time of booking. Often non-refundable or subject to airline change fees. Some airlines offer refundable fares at a higher price.
Premium, business, or first class: 100% at time of booking. May have more flexible cancellation terms; check the fare conditions before booking.
Low-cost carrier flights: 100% at time of booking. Almost always non-refundable. Changes may be permitted with a fee.
Airline package (flight + hotel): Varies; often a deposit at booking, balance 30-60 days before travel. Supplier terms apply. Cancellation penalties may apply to the entire package.
Your responsibility: Flight refunds are governed by the airline's fare conditions. We cannot guarantee a refund if you cancel a non-refundable fare.
5.2.2 Hotels
Refundable / flexible rate: 100% at time of booking, or pay at hotel. Full refund if cancelled by the deadline stated in your booking, often 24-72 hours before check-in.
Non-refundable / prepaid rate: 100% at time of booking. No refund if you cancel, regardless of when you cancel.
Pay at hotel: No payment upfront; pay at checkout. Cancellation policy applies; you may be charged if you no-show or cancel late.
Deposit required: Deposit, such as first night or 10-50%, at booking; balance at hotel. Deposit may be non-refundable if you cancel outside the free cancellation window.
Your responsibility: Read the hotel cancellation policy before booking. A non-refundable rate is usually cheaper but offers no flexibility.
5.2.3 Tours and Activities
Day tours and standard activities: 100% at time of booking. Often refundable if cancelled 24-72 hours in advance. Last-minute cancellations or no-shows are usually non-refundable.
Multi-day tours: Deposit of 20-50% at booking; balance 30-60 days before departure. Deposits may be non-refundable. Final balance may be partially or fully refundable depending on how close to departure you cancel.
Private tours and charters: 50-100% at time of booking. Often non-refundable or subject to strict cancellation terms due to dedicated guide and vehicle booking.
Adventure or high-demand activities: 100% at time of booking. Often non-refundable. Supplier may offer a credit if you cancel far in advance.
Your responsibility: Tours often have minimum participant numbers. If a tour is cancelled by the supplier due to insufficient numbers, you are entitled to a refund or alternative date under supplier terms.
5.2.4 Packages (flight + hotel + tours combined)
Static package (pre-designed): Deposit of 20-30% at booking; balance 30-60 days before travel. Cancellation penalties may apply to the entire package. Some components, such as flights, may be non-refundable even if other parts are refundable.
Custom package (designed for you): Deposit of 30-50% at booking; balance 30-60 days before travel. The deposit is often non-refundable to cover planning work and initial supplier commitments. See also our Cancellation and Refunds Policy.
Promotional package: 100% at time of booking. Usually non-refundable or subject to strict cancellation terms.
Your responsibility: For packages, cancellation terms apply to the whole booking. Even if you cancel one component, the supplier may treat the entire package as cancelled.
5.3 Payment deadlines
If a payment deadline is specified on your invoice or booking confirmation, you must pay by that date. If you miss a payment deadline:
The supplier may cancel your booking without refund of amounts already paid
The supplier may reprice the booking at current rates
We may be unable to confirm or continue work on the booking or service
We may remind you if a payment deadline is approaching, but you are ultimately responsible for meeting supplier and invoice payment deadlines.
6. Payment Security
6.1 Website payments
Payments made through our website are processed using secure payment gateways. We do not store full credit card details on our website.
6.2 Direct payments
For direct payments made by bank transfer, Wise, Airwallex or another direct payment method, you are responsible for ensuring payment is sent to the correct account details provided on your invoice.
6.3 Fraud prevention
We may verify your identity or request additional information for large, unusual or higher-risk bookings to help prevent fraud and unauthorised payments.
7. What If a Payment Fails?
Website payment declined: Your booking will not be completed. You may try another payment method or contact your bank or payment provider. We do not store declined payment information.
Direct payment not received by the deadline: We will attempt to contact you using the details you provided. If payment is still not received by the deadline stated on your invoice or booking confirmation, we may cancel your booking or service, delay confirmation, or reprice the booking at current rates. You remain responsible for any supplier cancellation fees incurred before we are able to cancel.
Partial payment received: We will contact you to arrange payment of the outstanding amount. If the shortfall is not resolved within 7 days of our first notice, or a shorter period if a supplier deadline is imminent, the booking may not be confirmed. Any amounts already paid may be refunded less any non-refundable supplier costs or administration fees, or applied toward a revised booking at our discretion.
Recurring or instalment payment fails, if applicable: If you are on an agreed payment plan and a scheduled payment fails, we will notify you. You will have 5 business days to remedy the failed payment. If payment is not made within that time, your booking may be cancelled and amounts already paid may be non-refundable under supplier terms.
8. Invoicing and Receipts
8.1 When you receive an invoice
We will provide an invoice for:
Custom planning services, upon request or before work begins
Direct bookings arranged via email or other direct communication, where payment instructions are required
Any service where you request an invoice before payment
Invoices are generally sent within 2 business days of the request or booking confirmation. If you need an invoice urgently, please let us know.
8.2 When you receive a receipt
You will receive a receipt or payment confirmation:
After successful website payment, usually by email immediately or within a few minutes
After we process a direct payment, generally within 2 business days of receiving cleared funds
8.3 What information is on your invoice
Our invoices may include:
Jadewind Travel Pty Ltd
Your name and contact details
Booking or invoice reference number
Description of services
Amount due in the agreed currency
Payment instructions and due date, if applicable
Any applicable supplier terms or cancellation deadlines, where known and practical
8.4 Incorrect or disputed invoices
If you believe an invoice is incorrect, please contact us within 7 days of receiving it. We will review your concern and, if an error is found, issue a corrected invoice. You are not required to pay a disputed amount until the dispute is resolved, but undisputed portions of the invoice remain due by the original deadline.
9. Changes to a Booking After Payment
9.1 Changes requested by you
If you need to change a confirmed booking, please contact us as soon as possible, ideally at least 14 days before travel. The longer you wait, the less likely a change can be accommodated without penalty.
Planning services: Changes may be possible subject to availability and the stage of work completed. See our Cancellation and Refunds Policy for details.
Supplier bookings: Changes are subject to supplier terms. Supplier change fees may apply, and fare or rate differences may be charged, which could be higher than the original price. We will advise you of any known costs before proceeding.
Changes that are not possible: Some bookings, particularly non-refundable flights, promotional rates, or last-minute bookings, cannot be changed at all. If a change is not possible, you may need to cancel and rebook, which may result in loss of amounts already paid.
9.2 Changes initiated by us or a supplier
If we or a supplier need to change a confirmed booking, we will notify you as soon as reasonably practicable. Your rights will be governed by supplier terms for supplier-initiated changes, or by our Terms and Conditions Policy for changes initiated by Jadewind Travel Pty Ltd.
If a supplier-initiated change is significant, such as a major change to your itinerary, departure date, or accommodation standard, you may be entitled to a refund under supplier terms or applicable consumer law. We will advise you of your options when we notify you of the change.
10. Refunds and Credits
Refunds and credits are handled under our Cancellation and Refunds Policy. The following key principles apply:
You cancel a Jadewind Travel planning service: Handled under the Cancellation and Refunds Policy and any written terms agreed with you. Refunds, if any, will be made to the original payment method where possible.
You cancel a supplier booking: Supplier terms apply. We may assist you to request a refund or credit, but cannot guarantee the supplier outcome. Refunds from suppliers may take several weeks or months to process.
We cancel a Jadewind Travel service: We will provide a refund of the Jadewind Travel service fee or a reasonable alternative, subject to the Australian Consumer Law and any applicable terms.
A supplier cancels a booking: Supplier terms apply. We will pass on any refund or credit we receive from the supplier for your booking, less any fees that are lawfully retained or charged.
10.1 Refund timing
Refunds for Jadewind Travel service fees are processed within 14 days of approval, where possible.
Refunds from suppliers vary in timing. Some suppliers process refunds within 2 weeks; others may take 3 months or longer. We will keep you informed of progress where we are handling the request.
10.2 Currency of refunds
Refunds are generally processed in the currency you originally paid. If a refund requires currency conversion, for example where a supplier refunds in EUR but you paid in AUD, the exchange rate on the date of refund will apply. You may lose money on currency conversion compared to your original payment, and we are not responsible for such losses, except where required by law.
10.3 Supplier credits instead of cash refunds
Some suppliers, particularly airlines and tour operators, may offer a travel credit or voucher instead of a cash refund, depending on their terms and applicable law. We will advise you of the options available to us. You may choose to accept a credit or seek a cash refund where available by law, but enforcing a cash refund may require a legal claim, chargeback, complaint process or supplier escalation, and we cannot guarantee the outcome.
11. Australian Consumer Law
Nothing in this policy excludes, restricts or modifies rights that cannot be excluded, restricted or modified under the Australian Consumer Law or any other applicable law. If a service has a major problem, your remedies may include a refund, replacement, compensation or other remedy, depending on the circumstances and the applicable law.
12. Changes to this Policy
We may update this policy from time to time by publishing a new version on our website or otherwise making it available. The updated version will apply from the date stated in the policy and will not apply retrospectively where that would be unfair or unlawful.

Unless a different cancellation arrangement is confirmed in writing, the following guide applies to Jadewind Travel service fees for scheduled consultations or planning sessions:
More than 7 days before the scheduled consultation or session: 100% refund of the Jadewind Travel service fee
Within 7 days but more than 48 hours before the scheduled consultation or session: 50% refund of the Jadewind Travel service fee
Within 48 hours of the scheduled consultation or session: non-refundable, unless required by law
Missed appointments without notice: non-refundable, unless required by law
If you need to reschedule, please contact us as early as possible. We will try to accommodate one reasonable reschedule request, subject to availability and the stage of work already completed.
4. Custom planning work already started
Where you purchase a customised itinerary, planning package, research task or booking support service, work may begin soon after payment or confirmation.
Non-refundable deposit: A non-refundable deposit of 50% of the total planning fee is required before any custom planning work begins. This deposit covers initial research, itinerary drafting, supplier communications, and time spent understanding your preferences.
If you cancel after work has started but before delivery of the final itinerary:
We will retain the full 50% deposit to cover work already completed. If more than 50% of the planning work has been completed (at our sole discretion), the full planning fee becomes non-refundable.
If you cancel after receiving the final itinerary:
The full planning fee is non-refundable, regardless of whether you choose to book through Jadewind Travel or independently.
The itinerary and all associated research, recommendations, and supplier information remain our intellectual property. You do not have the right to use the itinerary to book directly with suppliers without engaging our booking services.
If you book your travel through Jadewind Travel: The planning fee will be credited towards your final package cost, subject to a minimum package value.
If we have not started any work and no non-refundable third-party costs have been incurred: We will refund the planning fee in full, less any bank transaction fees.
5. Digital products and downloadable guides
Digital downloads, travel guides, templates, checklists and similar digital products are generally non-refundable once access has been provided, because they are delivered immediately or made available for download.
We will consider a refund or replacement if the digital product has a major problem, cannot be accessed due to an issue within our control, is materially different from its description, or a refund is otherwise required by law.
If you experience an access issue, contact us at info@jadewindtravel.com.au within 7 days of purchase so we can help resolve it.
6. Third-party travel services
Flights, hotels, tours, transfers, attractions, trains, cruises, insurance and other travel services supplied by third parties are subject to the supplier's own terms and conditions.
Supplier terms may make some fares, rooms, tours, packages or promotional rates non-refundable or only partially refundable. Supplier cancellation fees may apply immediately after booking and may be up to 100% of the amount paid for that supplier service.
If you ask us to assist with a supplier cancellation or refund request, we will take reasonable steps to communicate with the relevant supplier or booking platform. We cannot guarantee that a supplier will approve a refund, credit, change or waiver.
If a supplier provides a refund, credit or voucher to us on your behalf, we will pass on the amount or credit to you as soon as reasonably practicable after it is received and reconciled, less any lawful deductions, supplier fees or agreed Jadewind Travel service fees.
7. Change of mind and personal circumstances
A change of mind, change of plans, missed flight, missed transfer, no-show, illness, family event, work commitment or failure to obtain required documents may not entitle you to a refund from suppliers or from Jadewind Travel, unless required by law or expressly allowed by the relevant terms.
We recommend you contact your travel insurer as soon as your circumstances change. You should keep receipts, medical certificates, cancellation confirmations and supplier correspondence in case these are needed for an insurance claim.
8. Cancellations or changes by us (Jadewind Travel Pty Ltd)
If we need to cancel or reschedule a Jadewind Travel consultation, planning service, or booking support service for reasons within our control, we will offer a reasonable alternative time or replacement service. If the replacement service costs more than the original, we will advise you of the difference. You may pay the difference or receive a refund of the Jadewind Travel service fee (excluding any third-party supplier costs already incurred).
We will provide a full refund of the affected Jadewind Travel service fee (excluding any third-party supplier costs already incurred). We will not charge any Jadewind Travel cancellation or change fee for changes initiated by us.
9. Changes or Cancellations by Third-Party Suppliers (Hotels, Airlines, Tour Operators, etc.)
Jadewind Travel acts solely as an intermediary between you and third-party suppliers. We do not control, operate, or own any airlines, hotels, tour operators, transport providers, or other travel suppliers.
If a third-party supplier cancels, reschedules, overbooks, or materially changes a travel service (including but not limited to flight cancellations, hotel overbooking, tour operator bankruptcy, or itinerary changes), the following applies:
Supplier terms govern: The supplier's own terms and conditions, cancellation policy, and applicable law will determine what refund, credit, replacement, or alternative is available for that supplier service.
We are not responsible: Jadewind Travel is not responsible for issuing refunds, compensation, or alternative arrangements on behalf of any third-party supplier.
We cannot guarantee refunds: We will only be able to pass on a refund, credit, or compensation if the supplier provides such to us. If the supplier refuses or offers only a partial amount, you agree that we are not liable for the shortfall.
We will assist (with limits): We will use reasonable efforts to communicate with the supplier on your behalf, forward relevant documentation, and advise you of the supplier's decision. However, we do not guarantee any outcome, and we reserve the right to charge a reasonable administration fee for excessive or complex claim handling.
10. Cancellations during travel
If you voluntarily cancel, are a no-show, leave a tour, miss a service or do not use part of a booking after travel has commenced, the unused portion may be non-refundable under supplier terms.
If you are removed from a tour, activity or supplier service because of unsafe, disruptive, unlawful or inappropriate behaviour, refund rights may be affected. Please also refer to our Customer Code of Conduct Policy and the relevant supplier terms.
Medical issues, emergencies, and unforeseen events outside our control: If you or a travel companion become ill, injured, or experience a medical emergency during travel; or if a family emergency, natural disaster, travel disruption, or other unforeseen event outside Jadewind Travel's control causes you to cancel, interrupt, or miss any part of your trip, refunds, credits, or alternative arrangements (if any) will be governed by the supplier's terms and applicable law.
We strongly recommend that you obtain comprehensive travel and medical insurance that covers trip interruption, cancellation for any reason, emergency medical expenses, and repatriation. Jadewind Travel is not responsible for any unrecoverable costs, medical expenses, or losses that could have been covered by appropriate travel insurance.
11. How to request a cancellation or refund
To request a cancellation or refund, contact us at info@jadewindtravel.com.au and include:
Your name and contact details
Booking, order, invoice or enquiry reference if available
The service or product you want to cancel or query
The reason for the request
Any relevant supporting documents
The outcome you are seeking
We may need to verify your identity, check supplier terms, ask suppliers for information or request supporting documents before we can respond.
12. Processing refunds
Where a refund is approved for a Jadewind Travel service fee, we will usually refund to the original payment method where possible.
Where a refund depends on a supplier, we cannot pay the refund until the supplier or booking platform has approved and released the refundable amount to us or directly to you.
Refund timing may vary depending on supplier processing times, payment processors, banks, card schemes and currency conversion processes. We will take reasonable steps to keep you informed where we are handling the request.
13. Australian Consumer Law
Nothing in this policy is intended to exclude, restrict or modify rights that cannot be excluded, restricted or modified under the Australian Consumer Law or any other applicable law.
Where a service has a major problem or consumer guarantees are not met, your remedies will depend on the circumstances and the service affected.
14. Changes to this Policy
We may update this policy from time to time by publishing or providing a new version. The updated version will apply from the date stated in the policy and will not apply retrospectively where that would be unfair or unlawful.
